Tampa Bay Network to End Hunger Administrative Assistant

Location

This role is remote. Communications will be facilitated virtually via phone, text, WhatsApp, Zoom (or other video chat/meeting platforms), and email.

Responsibilities

The Administrative Assistant will support the Tampa Bay Network to End Hunger in the following manner:

  • Utilize Google Voice to answer calls during specified times during the workday Monday – Friday
  • Calling unanswered calls back within 1-2 business days
  • Follow-up and forward callers to appropriate team department contact, as needed
  • Utilize resource guide to provide community resources and linkages to callers, as needed
  • Recording all calls into a Call-log via Excel Spreadsheet
  • Sending the call-log to the Executive Director and Program Director every Friday (or once a week)
  • Assisting the Executive Director with scheduling of meetings
  • Assisting the Executive Director with email communications
  • Assisting the Executive Director with minutes at scheduled meetings
  • Other duties as needed

Qualifications/Requirements

  • High School Degree or higher in pertinent field;
  • Creative problem solving skills;
  • Strong communication skills;
  • Proficiency with Microsoft Word, Excel and Dropbox;
  • Able to work well independently and use good judgment;
  • Pass a background check.

Time Commitment

Up to 25 per week. This position reports to the Executive Director.

Compensation

This position is compensated $16 per hour. To be paid monthly as a part-time employee. There is 1-week of PTO that accrues each payroll. The PTO can be used at any time with a 2-week notice. There is also an option to participate in TBNEH’s 401k plan. There is no matching option for part-time employees, but you can choose to contribute up to 6% of each paycheck.


Volunteer Manager

Location:

This part-time position is for the Volunteer Manager position. Communications with team will be facilitated virtually via phone, video chat, email, and in-person.

Duties and Responsibilities:

The Volunteer Manager will support Tampa Bay Network to End Hunger’s Meals On Wheels for Kids (MOW4Kids) and Meals On Wheels St. Petersburg (MOWSP) programs, in the following manner:

  • Schedule and ensure all food packing events and delivery routes are filled with volunteers, including substitute drivers and morning helpers, through Volunteer Hub system;
  • Communicate with volunteers by calling and emailing;
  • Check email and voicemail for same-day or future cancellations and process changes;
  • Maintain a strong relationship with volunteers;
  • Provide new volunteers welcome email, training materials, and orientations- prior to events;
  • Set up ride-along for new volunteer drivers, as needed;
  • Complete background checks for all new volunteers and make sure they receive a welcome phone call and email to get started;
  • Ensure master volunteer schedules for day of events are accurate and sent to all site coordinators prior to events;
  • Manage and assist volunteers, including check-ins, health and safety expectations (CDC guidelines), and providing site coordinators on-site orientation materials;
  • Monitor volunteer needs and communicate with Site Coordinators;
  • Notify all volunteer drivers of holiday deliveries and pick up location changes/closures;
  • Visit each packing/delivery site, if needed;
  • Participate in packing events and deliver routes, as needed;
  • Respond to volunteer notes/feedback of weekly packing and delivery events from Site Coordinators;
  • Attend team meetings, as needed;
  • Other duties as assigned.

Qualifications/Requirements:

  • Bachelor’s degree or higher; preferred
  • Experience recruiting, managing, and scheduling volunteers, required
  • Experience using Volunteer Hub, preferred
  • Strong communication and relationship building skills, required
  • Proficiency with Microsoft Word, Excel and Dropbox, required
  • Desire to learn about hunger, health, and non-profits,
  • Ability to work well independently and use good judgment for problem solving;
  • Pass a background check.

Time Commitment:

Maximum 20 hours per week. Communicate with management if you meet or exceed the maximum hours before the end of the week.

Compensation:

This position is $18 per hour. Payment will be made in rears.

Meals On Wheels for Kids Site Coordinator – Clearwater, Florida

Location

This position is for the Meals On Wheels for Kids Site Coordinator in Clearwater, Pinellas County, Florida. Communications with team will be facilitated virtually via phone, video chat, email, and in-person.

Responsibilities

The Site Coordinator will support Tampa Bay Network to End Hunger’s Meals On Wheels for Kids (MOW4Kids), in the following manner:

  • Print and assemble delivery documents prior to packing and delivery events;
  • Receive food from vendor on established food delivery day, as needed;
  • Manage and assist volunteers on site, including check-ins, health and safety expectations (CDC guidelines), and orientations at designated site on packing and delivery days;
  • Monitor volunteer needs and communicate with Volunteer Coordinator;
  • Problem solve to ensure equitable distribution of food;
  • Prepare and send accurate notes/feedback of weekly packing and delivery events to Recipient Intake Team;
  • Knowledge of Clearwater area and Pinellas County.
  • Attend team meetings, as needed;
  • Other duties as assigned.
